Job Summary:
The Service Clerk is accountable for the accurate administration, coordination, and documentation of all service and warranty activities at the Medicine Hat manufacturing facility. This position supports service operations by ensuring work orders, warranty registrations, invoicing, reporting, and customer and retailer communications are completed in accordance with company policies, warranty requirements, and internal controls.
This document is intended for HR and internal governance purposes and defines the scope of responsibility and accountability associated with the role.


Essential Duties and Responsibilities include the following:

Service & Warranty Administration
•Assess, clarify, and investigate the validity of warranty requests as directed by the Service Manager
•Abide strictly by the terms and conditions of the warranty program
•Responsible for inputting and closing all work orders into Navision
•Responsible for inputting the warranty registrations into Navision and updating the Status report, teams unit tracking M drive & service external hard drive
•Responsible for enrolling eligible homes into and inputting the National Home Warranty registration numbers into the Status report now being done by service
•Responsible for marking the receipt of Customer Walk Thru's on the Status report teams tracking and external hard drive and ensuring that the walk-through is filed in the appropriate home file
•Ensure no service work is performed on homes without the returned Customer Walk-Thru Checklist Form (#5270) or Customer Warranty Registration, unless directed by the Service Manager
•Responsible for assisting with the organization and scheduling of all service work orders

•Call the customer once the work order is received to review issues
•Call the retailer to review walk through once received, as directed by the Service Manager's approval
•Communicate service runs with retailers and customers
•E-mail retailers completed work orders
•Call the customer to follow up on completed warranty repairs and request them to provide feedback through our customer survey.

Invoicing, Parts & Billing
•Generate and close parts shippers, requiring decisions on pricing and invoicing
•Complete paperwork for all invoices
•Complete all paperwork for service invoices
•Create Misc. Invoices, Employee Invoices, and Credit Memo's
•Responsible for all Bill-Backs
•Return excess material from service back to purchasing using form #1110
•Track and ensure shortages are shipped out to the correct address provided by retailers

Reporting & Record Management

•Create and amend tracking programs and spreadsheets as required
•Confirm with sales that the parts status spreadsheet is updated
•Responsible for ensuring filing is kept up to date
•Check the home file for appropriate paperwork and complete the checklist on file before filing the hard card file

•Prepare monthly transfer order usage and service reports and forward them to the Service Manager, Purchasing Administrator, and Controller
•Complete Month-End Transfer Report


Inventory count sheets quarterly

  • Scheduling & Operational Support
    Provide backup for the Receptionist during lunch hours and absences
    Fill in for QC Inspector during absences or vacation

Qualifications
• Ability to work in a team environment.
• Excellent communication skills
• Calm and patient demeanor when working with retailers and homeowners.
• Strong attention to detail
• Computer skills including experience with Word and Excel


Education and/or Experience

High school diploma or general education degree (GED); or three to six months related experience and/or training; or equivalent combination of education and experience.
